Position Summary:
The Administrative Assistant II, Student Affairs, reports directly to the Dean of Students at the College of Western Idaho (CWI). This is a crucial role in supporting various departments within Student Affairs—including Counseling & Wellness Services, Student Disability Services, Student Retention & Engagement, Testing Services, Title IX Compliance & Veterans & Military Family Services—and will also take direction from leaders within these departments. The role involves managing front-office operations, handling sensitive information with discretion, coordinating procurement, and assisting in event planning. The Administrative Assistant II is expected to maintain a welcoming, efficient, and professional presence in all interactions, ensuring a supportive environment for students, faculty, and staff.
This position requires a dependable, flexible, and collaborative individual with a professional demeanor, capable of maintaining productive working relationships across various departments. The role is integral to the efficient operation of Student Affairs at CWI, ensuring that students receive the support and resources they need.
Essential Functions:
Facilitate Effective Communication and Support
Manage all incoming calls, emails, and visitor inquiries, ensuring timely, accurate responses while providing administrative support to departmental leaders as needed.
Streamline Operations and Resource Management
Oversee the procurement of office and program supplies through systems like ESM and E-Contracts, ensuring adequate inventory and efficient resource utilization.
Uphold Confidentiality and Accuracy
Handle sensitive and legally protected information with integrity while preparing, editing, and managing official correspondence, reports, and compliance documents promptly and accurately.
Maintain Front Office Excellence
Ensure a welcoming and efficient front-office environment, assisting students, faculty, and staff with scheduling and referrals to appropriate Student Affairs services.
Coordinate Events and Provide Team Leadership
Assist in planning and executing large-scale events with logistical support, and provide training and guidance to work-study students and other student employees as required.
Minimum Qualifications:
• 3 years of administrative assistant experience with an emphasis on purchasing
• Strong customer service skills, with an emphasis on maintaining a welcoming, efficient, and professional demeanor
• Experience handling confidential information.
• Proficiency in Microsoft Office and Adobe Acrobat.
• Ability to adapt to dynamic environments and train others.
• Valid driver’s license and ability to lift 50 lbs.
